Overview
Help administrators control offline access and help users enable it safely on a private trusted device.
Main purposeHelp administrators control offline access and help users enable it safely on a private trusted device.
Important areasSecurity policy, maximum offline days, allowed roles, account renewal status, trusted device confirmation, offline unlock passphrase, clear offline data.
Business valueClear offline access rules let users keep limited access when disconnected without allowing use on shared or untrusted devices.
Where To Find It
Common Path: Account > Offline access; Setup > Settings > Security for administrators
Exact access can depend on your QCRM role. If the menu item is not visible, ask an administrator to review your permissions.
How It Works
- Administrators decide whether offline access is available, which roles may use it, and the maximum number of offline days.
- Users must open Account > Offline access on each private device they want to allow.
- Offline access is not available when account renewal is expired or cannot be confirmed online.
Main Areas
| Area | What It Is Used For |
|---|---|
| Security settings | Administrator controls for offline access. |
| Account offline access | User page for allowing the current device. |
| Trusted device confirmation | A required acceptance checkbox. |
| Offline unlock passphrase | User-created passphrase for opening offline data. |
| Clear offline data | Removes offline data from the current browser. |
Important Fields And Controls
| Field Or Control | What It Means | When To Use It |
|---|---|---|
| Allow offline access | Workspace switch controlled by administrators. | Turn on only when the business allows offline use. |
| Maximum offline days | How long a device may remain offline before it must reconnect. | Set a short value from 1 to 30 days. |
| Roles allowed to enable a device | Roles that can opt in from their account page. | Leave empty when only administrators and tenant owners should use it. |
| Confirmation box | User statement that the device is private and trusted. | Required before the Allow on this device button works. |
| Offline unlock passphrase | Private phrase used by the user for offline access. | Use at least 8 characters and keep it private. |
Recommended Workflow
- Administrator: open Settings, then Security.
- Administrator: turn on Allow offline access only if the business permits offline use.
- Administrator: set Maximum offline days to 30 or less and choose any roles allowed to enable devices.
- User: sign in on a private device and open Account > Offline access.
- User: confirm the device is trusted, enter and confirm an offline unlock passphrase, then select Allow on this device.
Best Practice
- Do not enable offline access on shared, public, borrowed, or unmanaged devices.
- Use the shortest offline window that still supports real work.
- Clear offline data before a device is returned, reassigned, repaired, or sold.
- Reconnect regularly so account renewal and permission changes can be confirmed.
Troubleshooting
- If offline access is unavailable, check whether the workspace policy is turned on.
- If the Allow button does not work, confirm the checkbox is selected and both passphrase fields match.
- If the browser or device is blocked, use online access from a trusted private device.
- If account renewal is expired or cannot be confirmed, reconnect online or ask an administrator to review account renewal.
